Heartfelt members agree to abide by
Heartfelt's Code of Conduct
Members agree to pay an annual membership fee.
Members agree to provide a minimum of 3 free sessions per year to clients (applies to metro areas only).
For each session, Members upload approximately 20 processed files for printing and other session files to the Heartfelt galleries at no cost to either Heartfelt or the families.
No charge may be billed regardless of cost. Members are welcome to provide additional services to clients of Heartfelt but again free of charge to families.
It will be the Members job to work out the details with the client before the photo shoot.
All costs of the shoot are to be covered by the Member.
Either Heartfelt or the Member may terminate this agreement at any time, without cause. In the event this should happen, the Member must remove all information regarding Heartfelt from their business materials, including websites, cards, advertising materials and all other forms of communications.
Members agree that Heartfelt will not be held responsible for any equipment damaged during a charity shoot.
Members understand that they are an independent contractor and not employed by Heartfelt in any way.
Members acknowledge that anyone can access the Heartfelt website and any inquires should be verified before performing the services. If you question the legitimacy of an inquiry, you should contact the hospital or health unit they are being treated under. You may respectfully decline to do a photo shoot, but you should direct them to contact Heartfelt for another photographer. If there’s reason to doubt them, we would like Members to contact us and let us know your concerns.
If the Photographer comes into legal action in regards to the work they’ve done, Heartfelt shall not be held responsible. Heartfelt will not cover legal costs, losses in any nature, injuries, etc.
Your work for the Heartfelt should be the same standard as your professional work you give to clients.
You must wear your Heartfelt Photo ID Badge to all sessions undertaken on behalf of the Heartfelt (once received).
You will be responsible to obtain a release for any work carried out under the umbrella of Heartfelt if you wish to use any of the images for promotional work or on your web site.
No request can be made of a family for a release until one month after the session.
All permissions for image use from the family must be media and time specific. Any public exposure of the image needs reconfirmed permission from the family.
The family can withdraw permission for an image being used at any time with all digital use.
You will conduct yourself in a professional manner at all times.
Heartfelt session images are prohibited from being entered in competitions (from 12/07/11).
Members must have their state version of a "working with children permit" (existing members have until August 1 2011).
